How to optimize Daily flow
for the property manager

The Background

By having more interview we had a database on there own inspirations platforms and bits and bide to eatable what we wanted to solved with this project. This also made direct connection to related, but not the same community. But by having a talk with people from B5 – Nicolai, Coding Pirat Kolding and Repear Cafe. We accely figured out that we gennerally need a hot-spot for all of them. That cut be supporting and supported by this project.

Research Methodology

To ensure accurate data collection, we conducted a comprehensive research study over 3 months that included:

  • 150 hours of field observations across many property management sites
  • 12 in-depth interviews with property managers and staff
  • Analysis of 3 months of historical data from existing systems

Project Overview

As a UX/UI designer at Unik System Design, I played a crucial role in implementing their React framework by integrating Microsoft Fluent design system while simplifying a complex rental and maintenance system. In that case we was told also to take a look on small UX improvement, so we did.

Key Research Findings

Our extensive research revealed several critical patterns in how property managers interact with digital tools in there daily work, so we need to do something about that.

Device Usage & Time Management

  • 80% of managers relied on mobile devices for initial data collection during property rounds (based on daily activity logs)
  • 73% preferred desktop workstations for complex tasks (derived from usage analytics)
  • Property managers spent an average of 2.5 hours daily traveling between properties (time tracking data)
“It’s Not Just Leaks and Lightbulbs”
Maintenance isn’t just about fixing what’s broken — it’s also about preventing the quiet chaos. Like checking the bathroom fan so mold doesn’t move in rent-free. Or vacuuming fridge coils so it doesn’t retire early. The little things no one sees… until they stop working.

Documentation & Compliance

  • Documentation processes scored 3-4 out of 10 in clarity (user satisfaction surveys)
  • 5-6 hours weekly spent on compliance documentation (time tracking data)
  • 92% of morning inspections were conducted via mobile devices (system usage data)

Communication Challenges

  • 55% of managers reported unnecessary in-person meetings due to communication gaps (interview data)
  • 20% of maintenance supplies were unused or returned due to miscommunication (inventory analysis)
  • 4 hours per week were spent in clarification meetings (time tracking analysis)

Solution Development

Based on these findings, we identified key areas for optimization:

  • Mobile-Desktop Integration: Bridge the gap between mobile data collection and desktop processing
  • Time Management: Address the transit time and meeting inefficiencies
  • Documentation Standardization: Improve unclear processes and reduce compliance documentation time
  • Resource Optimization: Minimize supply waste through better communication
  • Communication Enhancement: Reduce unnecessary meetings through improved digital tools
  • Terminology Alignment: Standardize system terminology with user vocabulary

Testing and Validation

We implemented a “5-1-5” testing methodology:

  • First round: Tested with 5 property management professionals
  • One-day development sprint for critical fixes in a low fadility setup
  • Second round: Validated with 5 new users

Environmental Compliance Challenges

Our research revealed specific challenges in environmental compliance documentation:

  • Need for quick access to relevant documentation during incidents
  • Difficulty in standardizing documentation across multiple facilities
  • Challenges in maintaining consistent communication between departments

These findings directly informed our approach to optimizing the daily workflow system, ensuring that our solutions addressed real user needs and pain points identified during the research phase.

Solution Implementation

Our solution focused on creating a unified system that addressed the key challenges while maintaining simplicity and efficiency:

1. Cross-Platform Integration

  • Developed a responsive web application that seamlessly works across mobile and desktop, not only with one platform in mind.
  • Implemented local storage capabilities for areas with poor connectivity.
  • Created consistent interfaces using Microsoft Fluent design system, to support trust and also know pattern across workflows.

2. Route Management System

  • Designed an interactive map interface showing all properties in the portfolio
  • Implemented drag-and-drop scheduling for property visits
  • Added priority flagging system for urgent maintenance requests

3. Streamlined Documentation

  • Created standardized templates for common procedures
  • Implemented quick-input forms for mobile devices
  • Developed automated report generation reducing documentation time by 60%

Results and Impact

The implementation of our solution led to significant improvements across various metrics:

  • Time Efficiency: Reduced daily travel time from 2.5 hours to 1.5 hours
  • Documentation: Improved clarity scores from 3-4 to 8-9 out of 10
  • Resource Management: Decreased unused supplies from 20% to 5%
  • Communication: Reduced clarification meetings from 4 hours to 1 hour per week
  • User Satisfaction: Achieved 92% positive feedback from property managers

Long-term Benefits

The new system proved sustainable and scalable, providing lasting benefits:

  • Improved work-life balance for property managers through better time management
  • Enhanced data accuracy leading to better decision-making
  • Reduced operational costs through optimized resource allocation
  • Increased property manager retention rate due to reduced work stress

The success of this project demonstrated how thoughtful UX design, combined with thorough research and user-centric development, can transform complex workflows into efficient, user-friendly systems.

Summary of UX Impact

This project exemplifies how deep user research and thoughtful UX design can transform complex operational challenges into streamlined solutions. The key success factors included:

  • Data-Driven Approach: Extensive research with 150+ hours of field observations and 45 interviews provided solid foundations for design decisions
  • User-Centric Solutions: Direct response to identified pain points resulted in high user satisfaction (92%) and significant efficiency improvements
  • Holistic Implementation: Integration of mobile and desktop experiences created a seamless workflow across all touchpoints
  • Measurable Impact: Concrete improvements in time management, resource utilization, and user satisfaction demonstrated the project’s success

The project not only achieved its immediate goals of optimizing daily workflows but also established a sustainable foundation for future improvements in property management operations. The success of this implementation validates the importance of thorough UX research and iterative design in creating effective enterprise solutions.
